Archive voice reports

Before sending. These conditions apply when you tick the recording agreement and choose SEND REPORT TO ARCHIVE. Recording alone does not send anything.

What you are agreeing to

By ticking the consent box and choosing SEND REPORT TO ARCHIVE, you agree that your voice report may be sent to the Archive, stored with its report reference and used as an archive contribution.

You give the archive non-exclusive permission to preserve, catalogue, reproduce, edit, excerpt, play and publish the contribution in Shepway Bear Watch performances, exhibitions, public-information works, archive presentations and related documentation. The report may be combined with other material or presented in a telephone-quality form.

The recording may also be played publicly in the exchange's Recent Activity list while it is one of the five most recently received reports. When a sixth report is accepted, the oldest is removed from that recent list. Its separate emailed archive copy is governed by the Archive's retention process.

This permission does not transfer ownership of your original contribution. Only submit a report you are entitled to contribute.

Before you send

Participation is voluntary. Listen back to the eight-second report before sending it and use CLEAR if you do not wish to contribute. Do not include another person's private information, or anything you do not want the archive to receive and potentially use in a performative context.

Finding or removing a contribution

After a successful send, the exchange displays a report reference. Keep that reference: it is also placed in the email subject, attachment filename and message header so the archive can locate the recording.

A removal request to folkstoneware@gmail.com should quote the report reference. The Archive can then identify and delete the recent-playback object and mailbox copies under its control. Delivery logs or temporary provider backups may remain for a limited period under the email provider's own retention process. Unless removed on request, an emailed copy may be kept as part of the Archive.
